Guidelines for preparation and uploading of presentations

ORAL PRESENTATION GUIDELINES

Overview

In view of the COVID-19 pandemic, ICTAM2020+1 has been moved to a fully virtual conference.
As Author of an accepted Oral Presentation, you will be asked to upload two videos:
- one long presentation (max 15 minutes), to be made available on-demand to congress delegates,
- one short presentation (min 3 – max 5 minutes) for the live discussion in your technical session.
The short presentation will be introduced and launched by the session Chairman in a live session and will be followed by a short live discussion in a Zoom room. You will be requested to stay connected and to answer the questions by the audience.

You will receive the platform link and login credentials soon. You will be able to upload your video presentation till July 25.

Detailed Instructions

Each video of your presentation should consist of a brief introduction with webcam, if desired, followed by voice over slides for your presentation. Please note that the file must be a video file in MP4 format (more details below). Please do not try to upload PowerPoint or PDF files.

Our recommended approach to record a compatible video from contents displayed on your computer screen and voice recorded via the computer microphone, is to record the presentation using Zoom or Pow- er Point, available to users on most platforms and in most countries:

For Authors who are unable to access Zoom, another option for the video recording is the free software OBS, which also allows to capture simultaneously yourself while speaking and your slides: https://obsproject.com/

To allow for the technical verification of the uploaded videos by the local programme committee, you are urged to prepare and upload your video as soon as possible after the opening of the uploading platform, on June 18. The deadline for video uploading is set to July 25, 2021. Presentations will not be accepted after this date.

Guidelines for preparing your long presentation video:
Duration: 15 minutes
File size: 150 MB max, better if lower than 50 MB (see tips below to reduce the file size)
Video file format: mp4
Dimensions: minimum height 720 pixels, aspect ratio: 16:9

Guidelines for preparing your short presentation video:
Duration: 3 - max 5 minutes
File size: 50 MB max, better if lower than 25 MB (see tips below to reduce the file size)
Video file format: mp4
Dimensions: minimum height 720 pixels, aspect ratio: 16:9

MP4 file compressors
To reduce the file size of the original MP4 video, you can use the File->Convert/Save command in the soft- ware VLC (Win/Mac/Linux): https://www.videolan.org/vlc/index.en_GB.html

There are also many web converters available for reducing the MP4 file size, provided you want to upload the original file, as example: https://clideo.com/it/editor/compress-video
Please note that the above specifications will be checked at the time of submission. It will not be possible to upload not compliant files. Please be sure the video includes the title of the paper, the authors, and a mention to ICTAM2020+1.

Uploading your video (Deadline: July 25, 2021)
You will receive the platform link and login credentials soon, so you will be able to upload your video presentation. Please note that you must finalize your videos no later than July 25, 2021.

File size: 25 MB max, better if lower than 15 MB
Video file format: mp4
Dimensions: minimum height 720 pixels, aspect ratio: 16:9

Guidelines for preparing your PDF one-page poster:
Format: PDF
File size: max 40 MB, better if lower than 20 MB
Dimensions: A0 (841 x 1189 mm, 33 x 47 in)
Please, consider that the file of your poster will be opened with a viewer that fits the scale of the screen. The maximum allowed size is 2.160 pixels x 3.840, with a minimum resolution of 72 dpi.
Please note that the above specifications will be checked at the time of submission. It will not be possible to upload not compliant files. Please be sure the video includes the title of the paper, the authors, and a mention to ICTAM2020+1.

MP4 file compressors

PDF file compressors
First of all, assure to use a reasonable format for your images, whenever possible favor compressed image formats (such as jpg/png/gif) in your original document before creating the PDF. When creating the PDF, make sure to select a balanced quality for the resolution (e.g. 600 dpi).
After you created the PDF, to further reduce the file size you can use web compressors, such as the user- friendly compressor at: https://www.adobe.com/acrobat/online/compress-pdf.html

Uploading your videos and poster (Deadline: July 25, 2021)

Information for Short Oral Presentation and Poster authors

Short Oral Presentations and Posters will be:

  • pre-recorded by the author
  • uploaded on the virtual platform (participants will be able to contact the author directly by e-mail and send questions and/or comments)
  • available to all participants in the on-demand area
  • broadcast live during the "Posters discussion" live session

In this regard you will be asked to upload:

  • a 5 minutes video presentation + the PDF file of your poster to be included in the on-demand area
  • a short presentation of min 1 - max 2 minutes to be used for the "Posters discussion" live Session

Information for Thematic Sessions Keynote Oral Presentation authors

Thematic Sessions Keynote Oral Presentations will be:

  • pre-recorded by the author
  • uploaded on the virtual platform
  • available to all participants in the on-demand area
  • broadcast live during the "Abstracts discussion" live session

In this regard you will be asked to upload:

  • a 15 minutes video presentation that will be included in the on-demand area
  • a short presentation of min 6 – max 8 minutes to be used for the "Abstracts discussion" live Session

Information for Mini Simposia Keynote speakers

Mini Simposia Keynote Speaker speeches will be:

  • scheduled in a live Session with a full duration of 15 minutes, followed by a live discussion of 7 minutes (total duration of 22 minutes)
  • available to all participants in the on-demand area

Kindly take note that in July you will be required to attend technical trials with the Technical Service in preparation of your live presentation.
In case your time zone will not allow you to take the presentation in live mode, please inform us so that we can arrange to record your presentation in advance. More detailed instructions will be sent in due time.
